Milk Round Software: Round Management Systems vs Round Book Apps

“Milk round software” covers two quite different things, and the difference is the first thing worth establishing. There is round management software — subscription systems built for established rounds with staff, vehicles and direct debit collection — and there are round book apps, which replace the notebook for a person who does the round themselves.

Both are sold under the same search term. Buying from the wrong category is expensive in opposite directions: a subscription system is overkill for a sixty-customer round, and a phone app will not run a business with four drivers.

Round management software

Web-based systems, sold monthly, aimed at rounds that employ people. Typical capabilities:

  • Multiple rounds and drivers, with a driver app or printed round sheets
  • Customer self-service — pausing, changing orders, adding products online
  • Direct debit collection and automated invoicing
  • Multi-product ordering beyond milk: eggs, bread, juice
  • Van stock control and returns
  • Reporting across rounds

This is the right category if: you employ delivery staff, run more than one round, collect by direct debit, or sell a range of products rather than milk alone. Setup takes days rather than minutes, and you should expect to migrate your customer data properly rather than typing it in.

Ask before you buy: what happens to a paused customer’s billing; whether a driver can work with no signal; whether you can export your customer list and history if you leave; and what the real cost is once the customer count is at the level you expect next year rather than today.

Round book apps

Mobile apps that replace the paper round book for one person. Typical capabilities:

  • A customer list with usual quantities, tapped through as you deliver
  • Morning and evening entries recorded separately
  • A rate per customer, including quality-based pricing where relevant
  • Monthly bills generated from the entries
  • Payments and outstanding balances per customer
  • Full offline operation, because early-morning signal is unreliable

This is the right category if: you or your family do the round, you have somewhere between a handful and a few hundred customers, and your problem is month-end arithmetic and uncollected balances rather than co-ordinating staff.

Which problem are you actually solving?

Rather than comparing features, name the thing that is currently costing you most:

  • “Month-end takes me two evenings.” A round book app solves this completely. Round management software also solves it, at a monthly cost you do not need to pay.
  • “I do not know who owes me what.” Round book app. The outstanding report is the whole answer.
  • “My drivers and I keep separate notes.” Round management software, or at minimum a single shared record. This is the point at which a one-person app stops being enough.
  • “Customers ring me to pause and I forget.” Customer self-service, which means round management software.
  • “Collecting money takes as long as delivering.” Direct debit, which means round management software — or, at smaller scale, simply putting payment details on a PDF bill sent the day the month closes.
  • “I am spending too long on the round itself.” Neither. That is route sequencing, and it is free — see milk delivery route management.

The checks worth running on anything in either category

  1. Time twenty entries. If recording the round is slow, nothing else about the software matters, because you will stop using it.
  2. Test it with the connection off. Doorsteps, stairwells and rural lanes are where this fails.
  3. Give two customers different rates and check a mid-month rate change produces a correctly split bill.
  4. Start a customer mid-month and check the part-month bill is right without manual pro-rata.
  5. Record a partial payment and check the balance updates rather than the bill simply being marked paid.
  6. Export everything. Do this on day one, not on the day you want to leave.

What software will not fix

Three things account for most of the money leaking out of a milk round, and only one of them is a software problem:

  • Unrecorded deliveries. Software helps only if you record at the gate. Entering the round from memory at night produces the same errors on a phone as in a notebook.
  • Slow collection. Mostly a timing habit — bill the day the period closes — rather than a feature.
  • Off-route customers served at a loss. That is a route decision. Software can show you the revenue per customer; it cannot decide to drop one.

Where to go next

Milk Diary is in the round book category: free on Android, fully offline, per-customer and quality-based rates, automatic monthly bills, PDF bills you can send, and payment and outstanding tracking. It is free on Google Play, rated 4.7 stars across 395 reviews. If you employ drivers or collect by direct debit, look at round management software instead — this is not the tool for that.
