The round book that lives on your phone
Milk Diary is a free app for milkmen, milk rounds and small dairies. Log every morning and evening delivery, let the monthly bill calculate itself, and always know who owes what — with no internet connection required.
A paper book loses you money every month
Not because you are careless. Because a notebook cannot add up, cannot remind you, and cannot prove anything when a customer disagrees.
Month-end takes hours
Sixty customers across thirty days is roughly eighteen hundred multiplications, done by hand, late at night, after a four a.m. start.
The errors only go one way
A mistake in your favour gets disputed and corrected. A mistake against you gets paid quietly and never comes back.
Dues you cannot see
A notebook records deliveries. It does not tell you who owes you money right now — and the real figure is almost always higher than the one in your head.
One spill and it is gone
There is no second copy of a notebook. Whatever was in it goes with it, along with every balance you had not collected.
Everything a milk round needs. Nothing it does not.
Eight things, and every one of them exists because a paper book cannot do it. No dashboard you will never open.
Daily delivery log
Morning and evening recorded separately for every customer. Auto-entry fills in the regulars, so a normal day is barely any work.
Bills that write themselves
The month builds from entries you already made — including part months, carried balances and mid-period rate changes.
A ledger per customer
Every entry, bill, payment and balance in one place — so a disputed month is a lookup, not an argument.
A rate for each customer
Flat per litre, or priced on fat and SNF. Change a rate and the bills recalculate rather than asking you to edit thirty entries.
Payments and dues
Full or partial, recorded as they arrive. One screen shows every customer who still owes you, largest first.
PDF bills you can send
A dated, itemised bill straight to the customer’s phone. People settle a bill that looks like a bill.
Entirely offline
Basements, back lanes, villages with no signal. Your records live on your device, not on somebody’s server.
English and Hindi
Switch the whole app, so anyone who covers your round can use it without being taught.
Set up tonight. Running tomorrow morning.
No account to create, no training, no onboarding call. Install it and start with your first customer.
Add your customers
Name, number, usual daily quantity. Ten minutes for a typical round.
Set each rate
Flat per litre, or fat and SNF based if that is how you trade.
Log the round
Tap through the list as you deliver. Auto-entry handles the regulars.
Bill and collect
Share the PDF the day the month closes. Record payments as they come.
Simple enough to use one-handed, in the dark
Real screens, not mock-ups. Big targets, short lists, and the number you actually need on every screen.
Notebook, spreadsheet, or this
Most milk businesses have tried the first two. Here is exactly where each one stops working.
| Paper book | Spreadsheet | Milk Diary | |
|---|---|---|---|
| Adding a daily entry | Write it down | Awkward on a phone | One tap |
| Monthly bill | Calculated by hand | Formulas you maintain | Generated |
| Outstanding balance | Worked out each time | Manual, easy to break | Live, per customer |
| Rate per customer | Remembered | Extra columns | Built in, incl. fat/SNF |
| Sending a bill | Torn-off page | Export, then share | PDF, one tap |
| Without internet | Works | Usually not | Works fully |
| If it is lost | Everything is gone | Depends on backup | Backup & restore |

Before you install
The things people ask us most often, answered plainly.
Is it free?
Yes. Free to download and free to use for a generous number of customers, supported by ads. There is an optional low-cost yearly upgrade if you outgrow the free limit or want the ads removed.
Does it work without an internet connection?
Completely. Entries, bills, ledgers and reports all work offline, because your records are stored on your own device rather than in the cloud. You only need a connection to share a bill.
Where is my data stored, and is it safe?
On your phone. Nothing is uploaded to a server, so no one else can see your customer list or your earnings. The app includes backup and restore so you can move your records to a new phone.
Can I charge a different rate to each customer?
Yes. Every customer can have their own rate per litre, and you can price on fat and SNF instead of a flat rate where that is how you trade. Changing a rate recalculates that customer’s bills automatically.
Can I send bills to customers?
Yes. Any month’s bill exports as a PDF and shares on WhatsApp or any other messaging app straight from the app.
Can I record part payments and track dues?
Yes. Record a full or partial payment whenever it comes in and the outstanding balance updates immediately. An outstanding report shows every customer who still owes you, on one screen.
What languages does the app support?
English and Hindi, switchable at any time, so a family member or helper can use it in whichever language they read most comfortably.
Is there an iPhone version?
Not yet. Milk Diary is currently an Android app, available on Google Play.
Put the round book down
Install it tonight, add your customers, and let tomorrow’s deliveries record themselves.
